Create Orders from the PrestaShop 8 & 9 Back Office: Phone and Email Order Entry

Enter a back-office order on a single page: customer, products, addresses, carrier, discounts and payment, with a live total.

A customer calls to place an order. In PrestaShop, the native order creation screen chains one block after another, reloads the cart on every click, shows neither stock nor margin, and makes you look for each combination in a drop-down list. This module replaces that screen with a page built for fast entry: you find the customer by name, email or phone, add products with the keyboard or a barcode scanner, adjust prices and discounts per line, and a summary shows the totals, the margin and what is still to be filled in. The order is created through the same mechanism as PrestaShop, with the payment method and status you choose.

Create Orders from the PrestaShop 8 & 9 Back Office: Phone and Email Order Entry
v1.0.0 · updated 2026-10-13
What it does

The short version.

01

The customer in a few letters

The search accepts the last name, first name, email, company, phone number of an address, VAT number, postcode or ID. The customer card shows the customer's groups, valid orders, revenue, private note, latest orders with an Order again button and open carts with a Resume this cart button. A new customer is created in a window, together with their first address.

02

Products added without leaving the keyboard

The / key puts the cursor in the product search. Results show the image, reference, stock and the customer's price, with combinations expanded. The arrow keys and Enter add the product with the chosen quantity. A barcode scanner works directly: scanning an EAN adds the matching product or combination.

03

Prices, discounts and margin line by line

Each line accepts a unit price entered tax excl. or tax incl. and a percentage discount, limited to the current cart: the catalogue price does not change. The original price stays shown struck through, with a link to go back to it. The margin tax excl. is calculated from the cost price of products and combinations, per line and for the whole order.

04

A summary that tells you what is missing

On the right, a fixed summary shows products, discounts, shipping, taxes, total tax excl. and total tax incl. after every change. From it you apply a voucher, an order discount as a % or an amount, free shipping, the currency and the language. A checklist shows what is still to be filled in before you create the order with Ctrl+Enter.

A detailed look at how Create Orders from the PrestaShop 8 & 9 Back Office: Phone and Email Order Entry works, why we built it the way we did, and the thinking behind the features above.

§ 01

Why the native screen slows down order taking

Order creation in the PrestaShop back office is a form split into blocks: customer search, cart, vouchers, addresses, shipping, summary. Each combination is picked in a drop-down list, stock and cost price are not shown, and you have to scroll to the bottom of the page to see the total. On the phone, the employee keeps the customer waiting while searching. This module uses the same creation mechanism, with a page organised to work fast.

§ 02

One page in four steps, plus a summary

The page follows the order of a phone order: customer, products, addresses and delivery, payment and status. Each step turns green when it is complete. The summary on the right stays visible while scrolling and is recalculated after every action, with the total tax incl. in large type. On a narrower screen, it moves below the steps and a bar at the bottom of the page keeps the total and the create button within reach.

§ 03

A customer's prices, without touching the catalogue

The prices shown are those of the selected customer: group, specific prices and automatic cart rules are applied by PrestaShop. An edited price or a line discount is saved as a specific price limited to the cart, as the native back office does. The order discount and free shipping are single-use cart rules reserved for the customer. Nothing is changed in the product pages.

§ 04

Pay online or validate straight away

When the customer pays remotely, the Send by email button sends them the link to their cart, with the native PrestaShop email, or the Copy the link button puts it in the clipboard for a text message or a messaging app. When payment has already been made or agreed, the order is created with the chosen payment method and status. The Email the customer option can be unticked for an order that must not trigger any email.

§ 05

Built for the team

The current cart is kept if the page is closed or reloaded, and each browser tab keeps its own cart. The Add new order button of the orders list opens this page directly, and the one of a customer cart opens it with that cart already loaded. The page of each created order shows the employee who entered it, whether the customer was notified and how many prices were edited.
