DataFirefly Payment Links: send a payment link from the back office

Installation, settings, creating a link from the back office, sending it to the customer, tracking payments and troubleshooting.

Installation

Install the module from Modules > Module Manager > Upload a module by sending the ZIP file, or drop the dfpaymentlink folder into the /modules/ directory of your shop and click Install.

On installation, the module creates its two tables (links and history), adds the Orders > Payment links tab and registers its hooks, including those of the back-office customer page and order page.

The module does not collect any money itself. The customer pays with the payment modules already active on your shop (Stripe, PayPal, bank transfer, etc.). Make sure at least one payment method is available for the customer’s country and currency.

Module settings

The module configuration page contains the following options.

Default validity

Duration preselected when you create a link: 2 hours, 1, 2, 3, 7, 14 or 30 days. You can change it for each link, including with a custom date.

Automatic sign-in

When the customer clicks Pay, the link signs them in so they land directly on the payment step. Three choices: guests and registered customers (default), guests only, or never. With guests only or never, a registered customer enters their password before paying. A guest customer cannot sign in with a password: if you choose never, use regular customer accounts.

Automatic reminder

Sends a single email to the customer when the link is 6, 12, 24 or 48 hours from expiry and the order is unpaid. No reminder is sent for a link created less than 2 hours earlier.

Notifications

The employee who created the link receives an email when the customer places the order, then when the payment is confirmed. You can add another address, such as your sales team or accounting.

Sending, copy and prefix

Send by email by default pre-ticks email sending when you create a link. Copy of each email to receives a blind copy of every link sent. The reference prefix (PL by default) produces references such as PL-7K3M9Q.

Open Orders > Payment links and click New payment link. The form is filled in three blocks, and totals are recalculated after every change.

1. The customer

Search for the customer by name, email, company or phone number. Arrow keys and Enter let you select them without a mouse. If they do not exist, click Create a new customer: the guest account option is ticked by default when guest checkout is enabled on the shop. If the email is already in use, the existing customer is selected.

Then choose the delivery address and invoice address, or add an address straight from this block. The customer’s recent carts are also listed: Use this cart loads their products, which helps when they call because they are stuck at checkout.

2. The products

Search for products by name, reference or EAN. Each combination is listed separately with its price and stock. Adjust quantities, then leave the unit price empty to use the catalog price, or type a negotiated price.

The Tax incl. / Tax excl. switch sets how typed prices are read. A negotiated price applies to this cart only: your catalog prices and other customers are not changed. The gap to the catalog price is shown as a percentage under the line.

Also choose the cart currency and the customer language: it is the language of the email, the payment page and the printable quote.

Select the carrier among those available for the address and products. Add a discount by amount or percentage if needed, and tick Free shipping. The discount and free shipping use a cart rule reserved for that customer.

Choose the validity, optionally write a message for the customer (shown on the payment page and in the email) and an internal note visible only in the back office, then click Create the payment link.

To redo an expired link or reuse it for another customer, open it and click Recreate a link from this one: customer, products, negotiated prices, discount and message are loaded into the form.

The link page gathers every way to send it:

  • Copy the link and paste it wherever you want. The same button is available in the list of links.
  • Send by email, to the account address or to another address typed in the field next to it. Preview the email shows the exact email before sending.
  • Send by WhatsApp opens WhatsApp with a prefilled message.
  • Copy the message for SMS copies a ready-to-send text with the amount and the expiry date.
  • QR code downloadable as PNG, for a customer at the counter.
  • Printable quote: an A4 page in the customer’s language, with lines, totals, validity date and QR code, to print or save as PDF.

What the customer sees

The link opens a summary page: products, shipping, discount, delivery address, the seller’s message and a countdown to expiry. On mobile, a sticky bar at the bottom of the screen shows the total and the pay button.

When they click Pay, the customer is signed in according to the automatic sign-in setting, the prepared cart is attached to their session, and they reach the payment step of the checkout with identity, address and shipping already confirmed. They choose a payment method and the order is created by that payment module, like a web order.

If the link has expired or been revoked, the page says so with a contact button, and checkout is blocked for that cart.

Statuses

  • Awaiting payment: the link is active.
  • Order placed: the order exists but its status is not paid yet, for example a bank transfer.
  • Paid: the order is in a paid status. The switch happens automatically when you confirm a bank transfer.
  • Expired and Revoked: the customer can no longer pay with this link.

Dashboard and history

The top of the list shows the amount awaiting payment, the amount ordered over 30 days, the conversion rate and the average time to order. Links expiring within 24 hours are flagged. Each link page holds the full history: creation, sending, opening by the customer, going to payment, reminder, order, payment.

Extend, revoke, bulk actions

From the link page, extend a link by 1, 3 or 7 days (an expired or revoked link is then reactivated) or revoke it. In the list, tick several links to resend the emails, revoke them or delete them at once.

On the customer page and order page

The back-office customer page shows their last 10 links and a button to create a new one. An order coming from a link shows a panel with the link reference, and its internal note mentions the link.

Cron task

Links expire automatically when they are opened, and reminders are sent each time the list of links is displayed. To send reminders even when nobody opens the back office, schedule the cron URL shown in the module configuration, for example every hour.

Troubleshooting

No carrier is offered

Check that the carrier covers the zone of the delivery address, accepts the cart weight and amount, and is associated with the customer’s group. For virtual products only, no carrier is needed.

The customer lands on the address step instead of payment

This happens when the cart was changed after the link was created or an address no longer passes the country validation. The customer then completes the checkout normally. If the order amount differs from the link, the history shows it.

Check the automatic sign-in setting. With never or guests only, a registered customer must enter their password.

The email is not received

Use the preview to check the content, then test the shop’s email sending in Advanced Parameters > E-mail. The link can still be shared by copy, WhatsApp or SMS.
